The brief
To mark 15 years of Yas Island, Miral threw a celebration at Yas Links Abu Dhabi for thousands of guests. A spreadsheet guest list was never going to survive the night.
We built the whole loop: the invitation, the RSVP, the entry pass and the scan at the door, then the report afterwards.
Built with
UX lead & PM I led UX and ran delivery for a one-night event where every guest had to get through the door fast.
What I did
- Planned the whole guest loop with Miral: invitation, RSVP, pass, check-in and report.
- Designed the invitation emails and an RSVP page that takes a minute.
- Specified the encrypted links and the QR engine with our Laravel developers.
- Ran a full check-in rehearsal with the event staff before the night.
- Delivered the post-event report on attendance and arrival times.
The impact
- 5,000+guests invited
- < 5scheck-in per guest at the door
- 0queues at the entrance on the night
- 2languages, English and Arabic
The call I made
Rehearse the door
A check-in system fails at the door, not in the office. We ran a full rehearsal with the event staff and real phones the day before, where small problems are cheapest to fix.
What shipped
- Branded invitation emails, each with a unique, encrypted RSVP link
- Registration in English and Arabic
- A personalised QR pass sent the moment a guest registers
- A mobile scanning screen for staff, synced live with the guest list
- Check-in in seconds per guest, with no queues at the door
- Post-event reports on attendance and arrival times
